The short version: we collect what you send us through a contact form or newsletter signup, we use Google Analytics to see which pages get read, and we don’t sell your information to anyone.

Finch Media Inc. (“Finch Media,” “we,” “us,” or “our”) operates the website finchmedia.ca. We respect your privacy and are committed to protecting the personal information you share with us.

This policy explains what personal information we collect through our website, why we collect it, how we use and protect it, and the choices available to you. It is written to comply with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA).

Finch Media Inc. is responsible for the personal information under its control, including information transferred to third parties for processing.

2. Information we collect

2.1 Information you provide directly

Contact forms. When you submit a contact form on our website, we collect the information you enter into that form. This typically includes your name, email address, phone number (if provided), company name (if provided), and the content of your message.

Newsletter signup. If you subscribe to our email newsletter, we collect your email address and any name you provide. Subscription is opt-in: we only add you to our mailing list if you actively request it.

You are not required to provide this information to browse our website. You provide it voluntarily when you choose to contact us or subscribe.

2.2 Information collected automatically

Google Analytics. We use Google Analytics, a web analytics service provided by Google LLC, to understand how visitors use our website. Google Analytics uses cookies and similar technologies to collect information such as:

  • Pages visited and time spent on each page
  • Approximate geographic location (city or region level, derived from a truncated IP address)
  • Referring website or search term that brought you to our site
  • Device type, browser, operating system, and screen resolution
  • Dates and times of visits

We have IP anonymization enabled, which means your full IP address is not stored by Google Analytics. This data is aggregated and used for statistical purposes. We do not use it to identify individual visitors.

Server logs and website software. Our website runs on WordPress. Our web host and WordPress may automatically record standard technical information, including IP addresses, browser type, and timestamps, for security, troubleshooting, and spam prevention purposes.

Cookies. Cookies are small text files stored on your device. Our website uses:

  • Necessary cookies — required for the website to function, including session management and form security.
  • Analytics cookies — set by Google Analytics to measure website usage, as described above.

You can control or delete cookies through your browser settings. Most browsers allow you to refuse cookies or alert you when a cookie is being set. Disabling cookies may affect how parts of our website function. You can also opt out of Google Analytics specifically by installing the Google Analytics Opt-out Browser Add-on.

2.3 Information we do not collect

We do not knowingly collect payment card information, government identification numbers, or sensitive personal information (such as health or financial data) through this website. We do not knowingly collect personal information from children under the age of 13.

3. Why we collect it and how we use it

We use the personal information we collect for the following purposes:

By submitting a contact form or subscribing to our newsletter, you consent to our collection and use of that information for the purposes described in this policy.

By continuing to use our website, you consent to our use of analytics cookies as described in Section 2.2. You may withdraw this consent at any time by adjusting your browser settings or using the Google Analytics opt-out tool.

You may withdraw consent for marketing emails at any time by clicking the unsubscribe link in any email we send you, or by emailing kylie@finchmedia.net. Withdrawing consent for marketing does not prevent us from responding to a business inquiry you have made.

Please note that withdrawing consent may limit our ability to provide certain services or respond to your requests.

5. Disclosure to third parties

We share personal information only in the following circumstances:

Service providers. We use third-party services to operate our website and communicate with you. These providers process information on our behalf and are contractually required to protect it and use it only for the services they provide to us:

  • Google LLC — website analytics (Google Analytics)
  • Our web hosting provider — website hosting and email delivery
  • Our email marketing platform — newsletter delivery and subscriber management
  • Our anti-spam service — filtering fraudulent and automated form submissions

Legal requirements. We may disclose personal information where required to do so by law, court order, subpoena, or lawful request by a government or regulatory authority, or where necessary to protect our legal rights, safety, or property.

Business transactions. If Finch Media Inc. is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

6. Storage outside Canada

Some of our service providers, including Google, store and process data on servers located in the United States and other countries. When personal information is stored outside Canada, it is subject to the laws of that country and may be accessible to law enforcement and national security authorities in that jurisdiction.

We take reasonable steps to ensure that our service providers maintain appropriate safeguards for your information regardless of where it is processed.

7. How long we keep your information

We retain personal information only as long as necessary for the purposes for which it was collected, or as required by law:

  • Contact form submissions — retained for up to 24 months after our last correspondence with you, so we can maintain continuity in ongoing business relationships
  • Newsletter subscribers — retained until you unsubscribe or ask us to remove you
  • Google Analytics data — retained according to our Google Analytics data retention setting, currently 14 months
  • Server logs — retained on a short-term rolling basis by our hosting provider

When personal information is no longer required, we securely delete or destroy it.

8. How we protect your information

We use reasonable physical, organizational, and technical safeguards to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification. These include:

  • Encrypted connections (HTTPS/SSL) across the entire website
  • Access controls limiting who within Finch Media Inc. can view submitted information
  • Strong authentication on our website administration and hosting accounts
  • Regular software, plugin, and security updates to our WordPress installation

No method of transmitting or storing data is completely secure. While we work to protect your information, we cannot guarantee absolute security, and any transmission is at your own risk.

9. Your rights

Under PIPEDA and BC PIPA, you have the right to:

  • Access — request confirmation of whether we hold personal information about you, and request a copy of that information along with an account of how it has been used and to whom it has been disclosed
  • Correction — request that we correct inaccurate or incomplete information
  • Withdraw consent — withdraw your consent to our use of your information, subject to legal and contractual restrictions and reasonable notice
  • Deletion — request that we delete your personal information where we have no ongoing legitimate or legal requirement to retain it
  • Complain — raise a concern about how we have handled your personal information

We will respond to your request within 30 days. We may ask you to verify your identity before we act on a request. In limited circumstances permitted by law, we may not be able to provide access to certain information (for example, where it would reveal personal information about another individual).
